The Lead Scheduler actively coordinates an organized and efficient case flow of electronic scheduling day-to-day patient activities, monitoring/resolving potential scheduling conflicts or complaints at patient reception. Obtains authorizations and pre-authorization for surgical services. Schedules ancillary appointments as necessary for patients. Answers phones, registers new patients. The Lead Scheduler is responsible for monitoring the front desk and such activities as orientation and precepting staff competencies. Oversees scheduling staff ensuring they adhere to hospital policies and procedures. Compile front desk reports for analysis and quality improvement. Oversees the TES edits and ensures competency and accuracy of scheduling staff to reduce edits on the list. Must work with any and every physician in the Department/Clinic. The Lead Scheduler must be able to work under stressful conditions with a high degree of accuracy and professionalism.

Essential Duties:

  • Act as lead appointment scheduler for all physicians in the practice.
  • Ensures that all appointments are scheduled appropriately.
  • Monitors/resolves potential scheduling conflicts or complaints at patient reception.
  • Monitors staff in front office area ensuring they are adhering to hospital policies and procedures.
  • Compiles all front desk reports for analysis and quality improvement.
  • Oversees the TES edits and ensures competency and accuracy of scheduling staff to reduce edits on the list.
  • Prepare all the monthly appointment lists for the physicians and management.
  • Ensures that all appointments are registered appropriately in the scheduling system, including patient registration, patient and insurance information and any other information needed.
  • Assist in greeting patients and provide all the appropriate forms and documents to the patients for completion. Ensure that all copies are available for files and records.
  • Collect co-payments from the patients.
  • Performs other duties as assigned.


Required Qualifications:

  • High school or equivalent
  • 1 year Experience in a healthcare setting.
  • Able to function independently and as a member of a team.
  • Knowledge of medical terminology.
  • Demonstrates ability to effectively work with physicians, staff, and patients.
  • Demonstrated ability to communicate effectively, both verbally and in writing.
  • Organization/time management skills.
  • Demonstrate excellent customer service behavior.


Preferred Qualifications:

  • 2 years Experience in a healthcare setting.


Required Licenses/Certifications:

  • Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)

The hourly rate range for this position is $22.00 - $34.18.
